Notification of Claim Status

Work Connections will review the certification (request for FMLA) and provide notice of approval, denial, or will follow-up if more information is needed.

Approval:  Approves if the employee/family member meets FMLA medial requirements

Denial:  Denies the request if the employee/family member does not meet FMLA medical requirements

Requests additional Information or clarification:

  • Work Connections may reach out to the provider for further clarification if needed.
  • If the FMLA certification form is incomplete or insufficient, the form may be returned to the employee in order to have the medical provider update it.
  • The employee will have 7 calendar days to have the incomplete or insufficient certification fully completed and returned to the Work Connections case manager assigned to the case.

Confidentiality

  • The medical condition will not be disclosed to the department, but the frequency and duration for the leave will be shared with the department.
  • Email notifications will be sent to the supervisor listed in Job Data. If there are additional department contacts that need to be included on the email notification, please contact Work Connections.

Case management and follow-up

Work Connections works with other available programs and services to ensure that employees and supervisors have convenient and centralized access to a wide variety of resources and support. Among other things, the Work Connections team coordinates the services of health care providers and other professionals to promote recovery as well as to ensure appropriate return-to-work support is in place and benefits are provided timely.

Work Connections staff offer assistance and support in the following ways during the recovery period:

  • Contact employees and supervisors on a regular basis and act as a central clearinghouse for information
  • Communicate with treating physicians and define options for treatment, facilitate care and identify what we can do to provide assistance during recovery
  • Provide ongoing status reports and projections to supervisors with respect to expected absences and durations of disability
  • Respond to questions or assist with identifying the appropriate resources or content experts to respond to questions about benefits, employment status, salary, and other issues that may arise
  • Explore options for assistance from other university resources

Time Reporting

  • Departments are responsible for tracking the use of FMLA via the MPathways timesheet.
  • The time reporting code to track FMLA usage is FML. The code is used in addition to the appropriate time off reporting codes (i.e., SCK, VAC, PTO, TOA, OTB, HOL, Extended Sick, ETW, RPN, SEA, etc.). The FML time reporting code is entered as part of the normal MPathways time reporting process.
  • The FML time reporting code is not a payable code. It is for tracking purposes only.
  • Exempt employees must record the FML tracking code for ANY time missed for FMLA, even if payable time is not recorded.
